Capturing Project Timesheets using YouManageHR.
Introduction
YouManageHR is provided with a basic timesheet tool as standard, enabling employees to record time spent working each day.
Project Timesheet Module
The Add-on Project Timesheet module further enhances time recording by allowing employees to book time against a specific Activity and Task within a Project. Reports can then be created to show time spent on each project within a time period.
Configure Projects, Activities and Work types
Any number of projects can be created for use in Project Timesheets. These could be by Client or by separate elements of a main project. Employees can be assigned to a Project to enable them to record their time spent against the project. Additionally, Activities (and Work Types) can be assigned to a Project for more detailed analysis.
Recording Timesheet entries.
You can select who can record their time within YouManageHR, as there maybe some employees who do not need to record their time.
Time recording is best done by the employees via their self-service portal, however, managers (and/or HR) can also create Time Records for their employees if need be.
Timesheet information can be recorded using 3 different methods that can be defined by the System Administrator:
Grid View – Employees simply enter the hours worked each day of the week
Daily Time Entries – Employees provide more detailed information including allocating time to a specific Project. Employees can create multiple time entry records on the same day to record time spent on different projects broken down by Activity and Work Type.
Clock in/Out Tool – The Clock In/Out tool enables a floating Clock In/Out widget to be displayed on YouManageHR, allowing employees to clock in when they start and clock out when they finish
Viewing Timesheets (Employee Self Service)
Employees can view a summary of their timesheets for the period via the Self-Service module. Any overtime/undertime is clearly displayed.
Here they can choose to display Timesheet information either Daily, Weekly, Monthly or Annually, from a chosen Date.
Project Timesheet entries can also be Edited or Submitted from the Summary screen.
Approving Timesheets
Managers can display Timesheets for their team in a summary view. This view will differ depending on which Time Recording Method has been selected.
Managers can view the details for each day on the timesheet when using the Daily Entries method to view the breakdown of the time spent by project. From here they can Approve or Reject individual entries or the whole timesheet as required.
Managers can also Approve timesheets in bulk for all their team, rather than individually if required to save time.
Reports and Analytics
As timesheet information is recorded, users can produce reports to analyse the Time entries. YouManageHR comes with several built in Timesheet reports and users can also create their own.
The example below is a user generated report showing Total Hours in the past 30 days, broken down by project.
Reports can be delivered to recipients automatically based on a user defined schedule and can be exported into Excel.
Summary
YouManageHR provides comprehensive yet easy to use Timesheet functionality which is provided as standard. Enhanced Timesheet recording to allocate time spent to specific Activities, assigned by Project is also possible with the optional Project Timesheets Add on Module.
