Oxford International Education Group (OIEG) Implement Employee Self Service for People Inc.
Oxford International Education Group (OIEG) have been using People Inc. for the past 2 years to manage core employee information for approximately 400 employees and 500 seasonal workers.
In 2016 they benefited from implementing the Web Recruitment Module for People Inc. which resulted in saving considerable time and costs as it allowed them to post vacancies directly from the People Inc. HR System to their company website. Applicants can then apply online and their details and automatically entered into People Inc.
Applicants were then processed by the recruitment team using tools within People Inc. including the generation of offer and rejection letters directly from the system through to producing Contracts of Employment for successful applicants.
Reducing the administrative burden on HR
Due to the success of the People Inc. HR and Web Recruitment modules OIEG wanted to explore other ways that People Inc. could improve the efficiency of the HR Team.
During an onsite meeting we identified the following key requirements:
- Provide facility for Employees and Seasonal workers to record changes to Contact details such as change of address, Next of Kin and Bank details.
- Track Employees Holidays including allowances
- Record Employees Sickness
- Manage the Appraisal process online
- Capture time sheet information electronically.
- Generate Line-Manager reminders for key tasks (Return to work, End probation etc.)
- Accessuseful reports for Line-Managers
- Log key changes to Employee Details in order to quickly provide updates to Payroll.
By implementing the People Inc. Self Service Module many of these requirements were easily met whilst the flexibility of People Inc. allowed for a custom online appraisal system to be developed which electronically replicated the existing paper forms in order to allow Managers and Employees to complete the appraisal process.
Significant positive impact on HR and business
“The Employee Self Service module has had a huge positive impact on the HR team at Oxford International Education Group”, comments HR Manager Robin Fry. “We have saved a significant amount time and effort in many areas from recording holiday and absence, capturing time sheet information and completing Employee Appraisals within a very short time”.
Robin goes on to explain, “because this information is now managed electronically by employees and managers it frees up more of our time enabling us to be more pro-active and effective as a HR Function therefore helping the business move forward”.
Plans for the future
The scalability of the Employee Self Services means that there is also a potential requirement for adding more functionality to save even more time and effort. This includes:
- Tracking Employee Expenses
- Distributing key HR documents such as employee handbook
- Producing Organisational Charts
These secondary requirements will be assessed as a separate phase of the project.
