British based R&D company implements YouManageHR – Case Study

Background

Our client is a British R&D-based company that develops chemical-free insect control solutions for agricultural, public health and other pests

They contacted us in 2023 looking for a scalable HR System to manage their 20 employees with the expectation their headcount would double within 12 months.

Requirements

Ideally they wanted a cloud based system that enabled them to record holiday and absence including self service to manage holiday requests as well as manage their changeable shift patterns for their fixed term contractors. Timesheets were also required for Zero Hour contractors and these needed to be able to calculated their holiday entitlements based on hours worked.

They were also interested in the following functionality

• Add Performance Reviews functionality as the business grows.
• Record training courses and receive automatic reminders for Expiry Dates
• Potentially link to an e-learning system in the future
• Centrally store Company Policies and Documents as well as attach letters and other documents to employee records.

Implementation

YouManage was rolled out in December 2022 after a short implementation period including 4 x 2 hours online training sessions to get the HR User up to speed.

Ongoing support was provided to assist in setting up Work Patterns as these were complex and needed to show correctly on the employee planner to enable them to check each shift was adequately covered.

In Jan 2023 they purchased the add-on Performance Review Module to enable them to carry out annual appraisals tor their staff.

To implement this we, took a copy of their Appraisal Form and replicated this where possible in the Performance Review Module within YouManageHR.

As part of this we configured company goals that could be assigned to employees as part of their Career Goals. We also enabled Employee, Objectives and Development Plans as well as custom questions that would be included on the Performance Review Template.

Implementing YouManageHR had an immediate impact:

• No longer need to use spreadsheets to record employee information or to view working patterns for shift workers
• Record employee training. Automatic reminders let them know when courses are due to expire.
• Manage holiday requests and accurately calculate entitlements based on FTE, work patterns (or hours worked on timesheets), and Start/End Dates (for fixed term contractors).
• Additionally calculate any remained days at the end of a Fixed Term Contract so these can be paid.
• Carryout annual performance reviews for their staff.
• They also had a system capable of matching their rapid growth. YouManageHR subscription is reviewed annually and increased as required based on current employees.
