Engineering Company Upgrades Vizual Personnel Software to People Inc. HR
Background
Our customer, based in Sheffield is an engineering company specialising in crafting high quality engineered products for a range of sectors such as off-shore exploration, renewable energy, construction equipment, military vehicles and waste recycling.
Requirement
They contacted us in June 2022 enquiring about our Vizual Personnel Upgrade to People Inc offering.
They had over 600 employee records on their Vizual Personnel Manager software, spread across several databases. This comprised of around 70 current employees and over 500 archived records.
After updating the Windows operating system on the users PC’s, Personnel Manager stopped working and they could not access the system. They were very concerned that they had lost their data and urgently needed to retrieve the data and migrate it to an up-to-date HR System that was still easy to use but provided improved functionality.
Upgrade and Implementation
Having over 25 years experience working on Vizual Personnel Manager we successfully retrieved their databases and migrated all their data over to People Inc.
As part of the data migration we merged all of their 500+ records into one central database to make it easy to review the data and identify any archived records that could be deleted for GDPR.
Once the migration was complete and the system rolled out, the users were able to quickly and permanently remove these archived records using the Record Deletion tool within People Inc.
The upgrade was carried out in August 2022 and took 2 chargeable days spread over a 2 week period including installation, data migration, configuration and training.
Benefits from upgrading to People Inc.
By upgrading to People Inc. users were able to generate more accurate a useful reports. Additionally they were able to download new report templates directly into their People Inc. Report library using the Report Browser tool.
They we also able to reduce a huge amount of admin time spent on recording and managing employee training records.
Using built in tools, People Inc. allowed them to assign mandatory training courses to employees based on a role. When an employee joined the company (or changed role) the system automatically generated a list of Training needs based on their role.
Additionally, training needs can be assigned to the employee during an appraisal.
They were then able to quickly book employees onto courses and update the record when the course was completed.
Reminders are automatically sent when a course is due to expire and when a training need is close to the target date.
Reports were configured to identify training needs by employee, by course or within a timeframe and a complete Training Profile Report displayed all Training records for an individual employee by Status (Training Need, Booked, Complete and Did Not Attend).
Finally, further reports were created to help analyse costs of training, by Course, Employee and Job Role and Department.
