Helping a Leading Agricultural Supplier Streamline HR Processes with People Inc. HR – Case Study
Background
Our client, a prominent supplier of agricultural products and services based in Mid Wales, has been serving customers across the UK with excellence and innovation. They have been using the People Inc. HR system since 2012.
In 2022, following a comprehensive customer review, it became clear that the system was not being used to its full potential. As part of the review process, we identified several key areas where People Inc.’s existing features could significantly improve efficiency and Streamline HR Processes —particularly in managing the Probation Review process.
Challenge: Manual Probation Tracking
Previously, the client’s probation reviews were tracked manually using spreadsheets and reminder systems. This approach was time-consuming, prone to error, and involved duplicated effort across teams.
Solution: Leveraging the People Inc. Action List
We proposed using the built-in Action List functionality to centralise and automate the process. The Action List allows organisations to track important HR events—such as probation reviews, training renewals, and vehicle checks—without relying on external systems.
In 2022, the Action List Manager was introduced, enhancing this feature by providing user-friendly tools to create, manage, and monitor actions and notifications. It is included as part of the annual support package at no additional cost.
How It Works
- Triggers are configured based on specific employee data—such as Probation End Date or Start Date.
- Once set, these triggers automatically create action records when criteria are met.
- Email reminders can be sent to designated recipients, including managers, HR staff, or specific users.
- Actions are visible both centrally and on individual employee records.
- Custom views, filters, and reports can be configured to track actions such as overdue reviews or upcoming milestones.
Implementation and Results
For this client, we configured:
- An Action List Trigger based on the Probation End Date, automatically calculated from each employee’s assigned probation period.
- Additional triggers to schedule performance reviews at the 1-year, 5-year, and 10-year marks from the employee’s start date.
This setup allowed the HR team and managers to receive timely reminders, stay on top of key review dates, and eliminate the need for manual trackers and shared spreadsheets.
Outcome
By fully utilising People Inc.’s Action List functionality, our client streamlined a critical HR process, reduced administrative overhead, and improved data security—without incurring any additional costs.
