Managing HR Policy Documents using YouManageHR

An important aspect of HR is to generate, distribute and achieve compliance with a wide range of Company Policy documentation. This could include a Company Employee Handbook, specific policies relating to Health and Safety and Equal Opportunities or other key information relating to an employees time with the business.

YouManageHR has easy to use functionality that allows users to do all of this in one central and secure location saving the need to manually store and process policy documentation.

Documents can be structured into folders within the YouManageHR Documents Area, for example; Policies and Procedures; Employee forms; Company Handbooks etc to make it easier to organise and find the documents you need.

Documents can then be uploaded to YouManageHR where they can easily be accessed and managed saving the need for creating shared drives or emailing documents to employees and manually recording who has read what.

Best of all there are a number of options that can be used on each document including:

  • Notify Employees – if you wish to email the employees to let them know a document is to be read
  • Read Confirmation – if you wish the employees to confirm they have read and understood the document
  • Request Signature – if you require employees to electronical sign to confirm they have read and agree to the document
  • Restrict Access – if you only wish some employees to view the document, but not everyone

Depending on the options selected, employees will receive notifications via email (and in their task list within YouManageHR) notifying them that the document is available/requires reading and/or requires a signature.

It is then possible to track the status of the documents, as and when employees view documents and signed documents can be tracked via the Signatures Inbox area

 

Additionally, document version control can also be managed directly from the Documents area within YouManageHR.
