Managing the Onboarding Process using YouManageHR
Introduction
The employee onboarding process is key to help organisations to improve not only how quickly the new employee adapts to life in their new role within your organisation but can also improve employee retention, increase productivity and reduce turnover (read more).

This article looks at how we can utilise YouManageHR (cloud based HR) to streamline the onboarding process to see how this compares to how the Onboarding process can be managed using People Inc. HR, (On premise HR software) (read more)
YouManageHR provides a range of tools to help with the administration of the onboarding process. These include:
- Automatic emails Notifications for key onboarding tasks
- New Starter form to capture employee details.
- New Starter Checklists to track what has been done and when
- Mail Merge to generate Offer letters and/or contracts
- Employee Checks including right to work and Disclosure and Barring
- Probation Process to ensure the employee is suitable for their role.
- Assign a Holiday Entitlement based upon their Work Pattern
- Record Induction and other training.
Each tool is configurable to meet the needs of the business and to ensure the process is streamlined and effective.
Tracking Onboarding Activity
Once the employee is register on YouManageHR, a multitude of processes are triggered. The status of the employees onboarding process can easily be monitored from the Turnover summary screen.
In addition to HR updating and maintaining the new employees information, tasks can be carried out by both the employee and manager as required. For example:
- Employees can update their personal contact details and upload documents such as their driving licence via their Self Service Portal within YouManageHR.
- Managers can complete employee checks and complete the Probation Process for their new employee.
Employee Lifecycle
Once the employee has been successfully integrated into the business further information can be recorded and managed such as training records and Performance Development reviews as well as recording Absence and Holidays.
Employee engagement is enhanced using configurable Employee Questionnaires and Company News all from the YouManageHR Self Service Portal.
A Leaver process can also be configured for when employees leave the business, completing the employee lifecycle.
